We’re looking for a Payroll & Administration Specialist – Germany, based in Berlin, to manage payroll operations, HR administration, and compliance for our growing German team. With 200+ employees across Giorgia (Munich), Edmondo (Hamburg), and Coccodrillo (Berlin) – this role is key to ensuring a smooth People experience for our teams on the ground.

You will report to the Head of People Germany and work closely with our restaurant managers, local leadership, and external partners.

🎯 Your Mission

• Manage the monthly payroll cycle for all German employees in collaboration with external providers
• Verify salary changes, bonuses, benefits, and statutory deductions
• Ensure compliance with German labour law, social security, and tax regulations
• Prepare and issue employment contracts, amendments, and essential HR documents
• Support employee registrations with authorities and maintain GDPR-compliant records
• Manage onboarding and offboarding admin (certificates, Arbeitsbescheinigungen, etc.)
• Track probation periods, fixed-term contracts, and key lifecycle milestones
• Partner with Finance for payroll reconciliation and year-end tasks
• Handle communication with German authorities (e.g., Finanzamt, health insurance funds, Employment Agency)
• Identify opportunities to improve administrative and payroll processes
• Support international mobility cases (Italy ↔ Germany), ensuring smooth administrative steps

🌱 Your Profile

• Around 5 years’ experience in German payroll and HR administration
• Solid understanding of German employment law, payroll, tax, and social security requirements
• Experience working with external payroll providers
• Comfortable using HRIS tools (SDW experience is a plus)
• Detail-oriented, reliable, and comfortable managing sensitive data
• Fluent in German and English
• Strong communication and relationship-building skills
• Passionate about people, with a hands-on and solution-focused approach

Reportant au Directeur du Restaurant, tes principales missions seront :

Responsabilités principales :

• Qualité du service : Garantir un service excellent, cohérent et rapide selon les standards Big Mamma.
• Expérience client : Superviser un accueil chaleureux et attentionné pour chaque client.
• Performance du restaurant : Optimiser la rotation des tables et garantir l’atteinte des objectifs de ticket moyen.
• Flux opérationnel : Assurer le bon déroulement des opérations quotidiennes en salle.
• Hygiène : Maintenir des normes de propreté élevées dans l’espace salle.
• Contrôle des coûts : Identifier des leviers pour optimiser les coûts de main d’œuvre en salle.
• Planification des shifts : Gérer les plannings de l’équipe et l’organisation des shifts.

• Gestion de la caisse : Être responsable de la clôture et du contrôle de la caisse.

Tus misiones:
-Organizar tu puesto de trabajo y asegurar la limpieza de vajilla, cubiertería y equipamiento de cocina.
-Comunicarse con el equipo de cocina durante todo el servicio.
-Asegurar una limpieza adecuada de la cocina y anexos (azulejos y pisos, superficies de trabajo, cuarto de basura).
-Ayudar al equipo de cocina con pequeños preparativos (lavar, pelar, cortar verduras).

En tant que Assistant Manager, vous jouez un rôle clé dans l’équipe de direction du pôle salle. Vous participez aux prises de décisions majeures du lieu et au déploiement de la stratégie aux côtés des autres chefs de pôles (CA, People cost, Events BtoC/BtoB…). Vous pilotez aux côtés du manager salle, une équipe de 70 personnes ultra motivée!


Ta mission:

1. Management

We are currently searching for a Construction Cost Manager, who will directly report to the Global Construction Cost manager. 

Your mission will to manage and optimize capex budgets across all capital projects, on a European scale.

His / her role includes the management of costs, risk and procurement within the capital investment program from feasibility stage to project completion, ensuring cost reduction activity and value engineering is directed where it will deliver the best results for the business.

MAIN RESPONSIBILITIES

1. Management of Projects

Feasibility Stage: Manage the project feasibility process from initial proposal through scoping and option studies to Board Approval of funding. Identify opportunities, constraints and risks. 

Estimating: Develop and employ modelling and estimating techniques to provide accurate Capex Estimates, rates and costs for an annual spend of up to 80M € across a variety of different types and sizes of new and refurbishment projects. Interrogate and verify Capex Estimates provided by partners. Ensure that they are accurate and fully reflect the scope of works and risks.

Tenders/Procurement: Employ the correct procurement techniques to suit the types of projects, programmes, and initiatives with solutions that will ensure best value is delivered, while giving due consideration to quality and programme. Preparation of necessary documentation. Evaluation of offers. Levelling and Negotiation. Recommendation to the Business. 

Manage Financial Progress of Projects Manage and monitor the financial progress of individual projects through regular communication and reports assessing the potential impact of change on the budgets and also taking account of the effect on the business and ensuring change control procedures are rigidly adhered to. Take up any variances with the appropriate department/individual.

Payment Management: Ensure payments are managed efficiently and within the required timescale.

Contracts and Orders: Preparation of contract documentation in a timely manner to ensure that BM is fully protected at all times. 

Value Engineering Lead valuation engineering studies to achieve budgets and to ensure best value is achieved. Engage with all necessary parties to ensure all proposals are fully investigated, tested and either accepted and applied or rejected as necessary.

Cost Data: Develop and maintain accurate benchmark costs across all Big Mamma concepts by country/area and individual cost elements with an appreciation of BM costs within the wider hospitality fit-out industry.

2. Procurement Process implementation and Best Practices

Supplier reliability Check (includes consultants and contractors) : Implementation and use of a supplier assessment solution 

Sourcing and Purchasing process implementation: Market analysis, Needs & Specifications definition, Sourcing, RFI & NDA, RFP, Negotiation rounds, contracting process, implementation, hand over.

Supplier Contracts Management: definition of a Big Mamma global agreement template + contract management approach, establish contracts for all suppliers, verify insurance requirements and provisions, ensure performance specifications are available when required

Tu Misión

Como nuestro Payroll and Admin Specialist gestionarás los procesos de nómina con precisión y elaborando informes de RRHH que impulsen nuestro crecimiento.
Trabajarás junto la Head of People (RRHH) y la Head of Finance (Finanzas) colaborando con el equipo de A3 Innuva, asegurando cálculos de nómina precisos, contribuyendo a definir la estrategia con análisis basados en datos y brindando apoyo a los empleados en cuestiones relacionadas con la nómina.

Responsabilidades

Proceso de Nómina e Informes:

-Gestionarás todo el proceso de nómina de principio a fin con precisión y puntualidad, garantizando que todos los empleados cobren correctamente y a tiempo. 

-Mantendrás el cumplimiento de los requisitos legales y normativas españolas. Harás seguimiento de los plazos establecidos y resolverás posibles discrepancias con A3Innuva para asegurar cálculos correctos.

Informes Financieros:
-Colaborarás estrechamente con el equipo contable para garantizar registros precisos de nóminas en el sistema contable. Serás responsable de la exactitud e integridad de estos datos. 

-Gestionarás las provisiones de costes de personal en coordinación con los equipos de Operaciones y Finanzas (bonificaciones, vacaciones, horas extra, turnos nocturnos, etc.) y analizarás y explicarás cualquier desviación respecto a los objetivos.

Conciliación Financiera:
-Gestionarás y conciliarás todas las cuentas del balance relacionadas con las nóminas, como la Seguridad Social, las retenciones de IRPF, embargos, etc. 

-Garantizarás la correcta contabilización y control de los beneficios de los empleados, como seguro médico, ticket restaurante etc..

Datos de RRHH:
-Elaborarás informes periódicos detallados sobre equilibrio de género, rotación de personal y análisis de la plantilla. 

-Apoyarás el equipo de People Partner para el onboarding y offboarding de los empleados. 

-Colaborarás estrechamente con los equipos de Operaciones y Finanzas para alinear los datos de nómina y RRHH.

Soporte a Empleados:
-Aseguraras asesoramiento y apoyo a los equipos de restaurante en temas relacionados con la nómina.

Confidencialidad y Precisión:
-Garantizarás la confidencialidad y seguridad de los datos sensibles de nómina y empleados. Definirás procesos y optimizarás tareas repetitivas para mejorar la productividad.
-Asegurarás información rigurosa para auditorías e inspecciones.

Perfil ideal: 

-Tienes un dominio avanzado de Excel/Google Sheets.

-Experiencia de al menos tres años de experiencia en nóminas, idealmente trabajando con plataformas como A3Innuva o Factorial.

-Tienes una mente analítica capaz de transformar números en información valiosa sin perder ningún detalle.
